Brief Summary of Job Duties

This University Development Officer serves as Associate Director of Development, Humanities and Fine Arts. S/he will personally work with donor prospects to optimize philanthropy to benefit UC Santa Barbara and to support the priorities of the Division of Humanities and Fine Arts. The Associate Director of Development, Humanities and Fine Arts, reports to the Senior Director of Development, Humanities and Fine Arts. Primary emphasis is on the identification, cultivation, solicitation, and stewardship of individual prospects (alumni, parents and friends) and when appropriate, foundations and corporations. Focus will be on organizing donor outreach to secure new and renewing annual gifts ($1,000+), with an added emphasis on building and maintaining an active pipeline of $1,000 - $20,000 gifts. Tasks include prospecting, managing an annual giving program, developing donor appeals, developing online and social media giving strategies, as well as helping to identify, cultivate and solicit major gift prospects starting at $25,000. With regard to major gift prospects, the Associate Director, in coordination with and guidance from the Director of Development and other members of the Humanities and Fine Arts development team, develops and executes individual prospect strategies to maximize philanthropic support. The Associate Director focuses about eighty percent (80%) of his/her time on direct fundraising and fundraising outreach activities. Twenty percent (20%) is focused on other activities, including administrative duties, such as planning and coordinating; partnering with departments on their alumni outreach strategies; and strategic development events for donor cultivation and stewardship purposes. The Associate Director will build and maintain an active prospect pipeline moving from an unqualified lead to donor. With supervisor guidance, the Development Associate develops and executes individual prospect development strategies. This development officer is a resource for the entire Division of Humanities and Fine Arts, but may also have responsibility for particular initiatives and projects at the direction of the Assistant Dean of Development. The Associate Director will organize and/or assist with cultivation and stewardship events in support of HFA programs and is responsible for the planning, marketing, implementation and follow-up on the events s/he plans, executes and/or supports. The Associate Director travels as necessary to build the pipeline, raising annual and major gifts. The Associate Director works to ensure that all aspects of his/her development program are internally consistent, thematically related, and thoroughly coordinated within the Division of HFA and compatible with the policies and priorities of the Development Office and University.



Required Qualifications
  • Bachelor's degree in related area and / or equivalent experience / training.
  • 1-3 years of direct development experience or other relevant professional experience in higher education.
  • 1-3 years of experience with proven success in fundraising, sales, or related business field.
  • Demonstrated track record of managing professional relationships in business, preferably in a development environment.
  • Persuasive verbal and written communication skills, and the ability to relate to and communicate with a wide array of constituents.
  • Ability to work collaboratively and courteously with colleagues, partners and the public.
  • Ability to work independently, balance priorities, multi-task, and meet deadlines.
  • Exceptional organizational skills and judgment necessary to manage multiple priorities and long-term projects.
  • Proficiency with Microsoft Office and donor/customer relationship databases in order to search for new possible donors to the University.
  • Flexibility and willingness to travel.


Preferred Qualifications:
  • 1-3 years of experience working with donor database or CRM software (e.g. Advance, Raiser's Edge, Blackbaud, etc.).
  • An understanding of building professional relationships and with training, the ability to articulate the programmatic objectives with clarity and passion.
  • Highest ethical standards, demonstrated empathy and the ability to maintain a positive attitude when faced with challenging situations.
  • Ability to assess and understand institutional needs and communicate the importance of the division and donor partnership in achieving the mission.

Special Conditions of Employment


Job Functions and Percentages of Time:
  • 80% Fundraising - - Identifies, cultivates, solicits, closes and stewards annual and major gift prospects. - Meets individually with annual and major gift prospects in and out of the Santa Barbara region. - Devotes significant effort to cultivating personal relationships that lead to solicitations, actively managing approximately 125 prospects, most of which are in 12-18 months of gift closure. - Makes a minimum of 100 meaningful "moves" per year focused on prospects in discovery and under portfolio management. "Moves" may be defined as significant contacts or steps, executed in accordance with a strategy designed to result in a gift to UC Santa Barbara. Moves can include personal visits, tailored telephone conversations, correspondence, event cultivation, and other personal contact. - Drafts necessary correspondence, donor proposals, and gift documentation generated from personal visits and solicitations. - Attends various meetings and University and campaign events, including some activities on weekends, evenings, and out of town, in order to cultivate, solicit, or steward donors. - Supports the HFA Development staff, the HFA Dean, and/or HFA faculty and program directors, as appropriate, in donor prospect relationships leading to gifts; briefings in preparation for development-related meetings; drafts or plans letters to donors and prospects, comments for donor gatherings; and sets and coordinates individual meetings with key donors.


  • 20% Strategy Planning and Administration - - Provides a wide range of cultivation and stewardship opportunities for donors. Plans various events to cultivate and steward donors in coordination with Development Events staff. This includes event logistics planning, invitation list creation, planning the program in coordination with appropriate faculty and donors, writing speaker remarks, and ensuring the connection between faculty, students or campus and donors at these events. - In coordination with HFA Development team, implements a program plan which prioritizes and coordinates all assigned fund-raising efforts including stewardship, travel, solicitations and events calendar. - In coordination with the Director of Development and Communication team, designs and implements social media strategies for the purposes of philanthropy. Works with various volunteers on behalf of HFA, including event hosts and UC Santa Barbara Foundation Trustees, as appropriate. - Documents all annual and major donor contacts and coordinates with development colleagues on strategies and plans related to multi-interest prospects. - Reviews and monitors travel and entertainment expenditures. - Initiates donor acknowledgements and recognition, as appropriate (working in coordination with Donor Relations). - Participates in various Development Office or other University committees and handles special assignments, as appropriate. - Serves as a team member of the University Development team and works collaboratively with Development colleagues across the campus to maximize donor relationships at UC Santa Barbara.
